A finished balloon backdrop may look effortless, but much of the work happens before the team reaches your venue. Knowing the process helps hosts protect the setup window β and relax a little on the big day.
You don't need to be there for setup
**One of the questions we get asked most is whether the host needs to be around while we set up.
The answer is, not necessarily. π
As long as we have access to the venue, whether thatβs a key, passcode, or someone letting us in, thereβs no need for you to rush down. Weβll only need you to be there if access to the location can only be provided by you.
Most of our clients use this time to enjoy some extra family time, get the outfits ready (including the babyβs!), or simply take a breather before the celebration begins. Leave the setup to us, and weβll have everything ready for your special day!
Ahead of the day, we usually ask for a short video of the space so we can plan the layout in advance. If we need to confirm exactly where to set up, we can hop on a quick video call. Having decorated at many different party venues across Singapore, our team usually already knows where the best lighting and sightlines will be, so feel free to leave that decision to us; we're happy to help you decide. Most of our backdrops are also easy for our professional crew to reposition on the day if plans change.
One thing that does help: let us know where your catering will be set up, so we can plan our backdrop location around it and avoid the two competing for space.
Design and preparation
The team confirms measurements, palette, focal elements and access. Balloons and personalised pieces are prepared in stages to reduce venue disruption.

Why we suggest keeping guests away during setup
Pumping balloon clusters can get surprisingly loud, and the noise tends to catch guests off guard, it's not unusual for it to startle young children or make babies cry. To keep things comfortable for everyone, we recommend that guests are not on site while the installation is underway.
Installation at the venue
Setup usually runs in parallel to save time: one crew starts pumping balloon clusters while another builds and positions the foamboard structure. The balloons go up last, once the frame is in place. Before we leave, we always take a photo of the finished setup for your approval.
Handover and teardown
The host receives care guidance and confirms collection arrangements for rented structures. Ideally, teardown happens after guests have left, since it needs its own access window. That said, if guests are still around, it's not a problem, we'll simply bring the balloons outside for popping so it doesn't disrupt the party. Some hosts prefer to invite the kids and guests to join in and pop the balloons together instead, which usually turns into a fun, high-energy way to close out the celebration.
